We collect and retain personal information that you voluntarily provide when you:

  • Fill out an inquiry or booking form

  • Receive an invoice or service agreement
  • Take part in a hunt

This may include:

  • Company name
  • Number of participants
  • Event details (location, date, preferences)
  • Participant phone numbers shared in hunt group chats
  • Photos, videos, and messages submitted during a hunt

We also collect website usage information through tools such as Google Analytics to understand how visitors use our site and improve their experience. This may include information such as pages visited, referral sources, device and browser information, and general usage patterns.

  • Customize and deliver your scavenger hunt experience
  • Send reminders, confirmations, and follow-up emails

Photos and videos taken or submitted during hunts may be used to operate and score the game and, in accordance with our Terms & Policies, may also be used for promotional purposes. Secret City does not use photos or videos of children for promotional purposes. If you would prefer that photos or videos of you not be used for promotional purposes, please let us know.

We do not sell or rent your personal information to anyone.

3. Who Has Access to Your Information

Access to your information is limited to trusted members of the Secret City team and third-party service providers that help us operate our business, such as website hosting, form processing, email, analytics, invoicing, and payment services. These providers may access information as necessary to provide their services to us.

Payments made through QuickBooks are processed through the QuickBooks payment system. When customers pay by credit card or ACH through QuickBooks, Secret City does not directly collect or store their full card or bank account information. Customers may also make direct bank-to-bank payments, in which case Secret City may receive transaction information provided through the banking system.

As part of the hunt experience, we may use group messaging services such as WhatsApp to communicate with participants and receive photo or video challenge submissions. Participants who join these groups should be aware that their phone number, profile information, messages, photos, and videos may be visible to other members of the group.

4. Cookies & Tracking

We use Google Analytics to understand how visitors use our website and to help improve our content and user experience. Google Analytics may collect information such as pages visited, referral sources, device and browser information, and general usage patterns, and may use cookies or similar technologies to collect this information.

We do not use third-party advertising or retargeting cookies.

5. Data Security

We take data security seriously and use trusted tools and industry-standard practices to safeguard your information against unauthorized access, misuse, or disclosure.

6. Data Retention

Secret City generally retains customer communications, booking records, and transaction records for business and recordkeeping purposes and does not maintain a standard deletion schedule for these records.

WhatsApp groups created for hunts may remain available after the event, along with messages, photos, videos, and other content shared within them. Content maintained through WhatsApp is subject to WhatsApp’s and Meta’s own terms and privacy practices.

We may update this policy from time to time. Any changes will be posted on this page with a new effective date. We encourage you to review this page periodically to stay informed about how we protect your data.

8. Legal Jurisdiction

All matters related to this Privacy Policy are governed by the laws of the State of New York.

9. Children’s Privacy

We occasionally conduct scavenger hunts for groups that include children under the age of 13. Hunts involving children must be chaperoned by adults, and we work directly with the adult or organization arranging the event. Our website and booking services are not intended to collect personal information directly from children under 13. Any information about a child that is necessary for organizing or managing an event should be provided by an adult or organization arranging the event. If we become aware that personal information has been submitted directly by a child under 13, we will take appropriate steps to delete it. Secret City does not use photos or videos of children for promotional purposes. Our practices regarding information from children under 13 are intended to comply with the Children’s Online Privacy Protection Act (COPPA).
